For New Projects/Clients

After creating a sitemap on your client’s website (or a dev environment), invite them to approve this stage.
Since this is an easy deliverable, make sure you do it fast (on the same day as the discovery or day after), this will build the needed momentum as you’re kicking off the project.

Note: This plugin above hasn’t been updated in a long time (it’s not ours), but its function is extremely basic and we can’t see how it can harm a website. If you’re concerned, use it in a dev/staging environment and deactivate it before you go live (it will serve its purpose by then).

SEND THIS TO YOUR CLIENT (change the marked brackets):

This stage lists out all the components of the website so that we can agree on what we will be building. Once the sitemap is approved and you have created the wireframes on the client’s website (or the dev environment), invite them to approve this stage.

On this stage, you will approve the layout and also collect the content for the project.
Allow your client to complete this stage in “2 days and a weekend”. This is how we define a revision round.

SEND THIS TO YOUR CLIENT (change the marked brackets):
“Hey [Client Name], Hope you’re doing great. I’ve finished creating the wireframes for the project. Wireframes are the blueprints of your website. After this stage is complete we will move to the development and design stage of the project. On this stage, I’d like you to go through the pages and let me know if there’s anything we missed on the layout (the structure of the pages). Also, this is our opportunity to collect the content that will be displayed on different pages. I added placeholder text on all the titles and text blocks. Please use the visual collaboration system to add the content throughout the site. Like before, simply click the + icon on the right side of the screen to choose any part of the page to attach a message. If you want to learn a little more about it, here’s a short video: https://www.youtube.com/watch?v=PtTHZgRdK5A&ab_channel=WPFeedBack Click here to access the home page: [Insert URL to client’s site or development enviornment] I’ve allocated 2 days and the weekend for you to go through and provide the required feedback and content (Estimated 2 hours of your time). After the prototype is approved and you gathered all the content visuall and within context on the previous stage, you can develop and design the website.
Then, invite the client to approve the design.
We suggest providing 2 revision rounds on this stage, each taking 2 days and a weekend.

“Hey [Client Name], Hope you’re doing great. The design is ready for your approval! As we’re approaching the end of the project, I’d like you to go through the pages and let me know if there’s anything we missed on the design or anything that needs changing. If you get inspired with additional requests at this stage, please note them down. We might include them, or make a list of requests that will add at a later date, if out of scope. Please use the visual collaboration system to add your notes throughout the site. Simply click the + icon on the right side of the screen to choose any part of the page to attach a message. After the design is approved and you finished your “pre-launch checklist“, as well as get paid for the project, you can launch the website.
Then, invite the client to connect to their new website.
After the launch, the client’s mindset changes and you are no longer a priority on their schedule. Therefore, they will send you less and less information to tackle issues.
Steer them in the right direction for any new request to form a habit (click the + icon on your site and leave a message there).

Checking In With Clients
Lead your project and relationship with your client by following up and following through in case they act or don’t.
If the client fails to act we must put our foot down and take responsibility over the relationship with the client.
Send this message 5 days after the initial “un-stuck” message for all 3 scenarios.
“Hey [Client], Hope you’re well. Just thought I’d check in as I haven’t received notifications about any updates using the new feature I installed around 5 days ago. I want us to get going on your website with a clean slate. Please reply within the next few days to let me know the situation. If we can’t get it up and running, I will be sending you an invoice for the remainder of the project. Awaiting your reply, Best”
Send this to the client if they took action after the initial “un-stuck” email, to acknowledge their behaviour and encourage it for the future:
“Hey [Client], Hope you’re doing great. I can see that you’ve been using the new feature I installed on your website, which is amazing. I can clearly see everything you need. How has the experience been for you? Looking forward to moving onto the next stage of the project, I’ll be taking care of what you’ve done right now. Please keep using this new feature and we’ll have this finished in no time! Speak soon”
